Rebuilt To Move ("Rebuilt To Move", "we", "us", "our") is a shoulder rehabilitation and strength coaching service operated by Kevin Hirose, BSc Kinesiology, based in St. Albert, Alberta, and serving Edmonton, St. Albert and Sherwood Park. This Privacy Policy explains what personal information we collect through rebuilt2move.com (the "Site") and while providing our coaching services, how we use it, who we share it with, and the choices you have. We handle personal information in accordance with Alberta's Personal Information Protection Act (PIPA) and Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
1. Information we collect
Application form. When you apply for the Shoulder Rebuild Program we ask for your name, email address, phone number, your age (optional), where you live, and a set of questions about your shoulder: what best describes it, how long it has been going on, what you have already tried, how it affects you right now, what you want to get back to, whether you have access to a gym or equipment, how many sessions a week you can commit to, how ready you are to start, and whether you have the resources to invest in the program. Some of these answers are information about your health. We ask for it only because we need it to decide whether the program is a fit for you and, if it is, to build your program safely. The form asks for your consent before you submit it.
Assessment and coaching. During your assessment and throughout the program, Kevin records how your shoulder moves, your training and injury history, your goals, the exercises and loads in your program, your progress, and the feedback, messages and exercise videos you send. Together this is your program record.
Payments. Payments are processed by Shopify Payments or another payment provider shown at checkout. We receive your name, contact details and the status of each payment. We never see or store your full card number.
Technical information. Like most websites, the Site automatically collects standard technical information such as your IP address, browser and device type, the pages you view and the site that referred you, through cookies and similar technologies (see section 4).
Correspondence. Emails, text messages and other messages you send us.
2. How we use your information
- To review your application and let you know whether the program looks like a fit.
- To book and run your assessment and, if you join, to build, deliver and adjust your program, including weekly check-ins, ongoing support between sessions and in-person sessions.
- To process payments, send receipts, and manage holds, cancellations and renewals.
- To answer your questions and send you messages about your program.
- To keep the Site secure, understand how it is used and improve it.
- With your separate, explicit permission, to publish a testimonial or describe your progress.
We do not sell or rent your personal information, and we never use your health information for marketing.
3. Who we share it with
We share personal information only with service providers who need it to run the Site and the business, and only for those purposes: Shopify, which hosts the Site, stores application form submissions and processes payments; Google Workspace, which provides our email; the messaging, video-call and scheduling tools we use for remote check-ins and ongoing support (for example WhatsApp); and, if we add them, website analytics providers such as Google Analytics. Some of these providers store information outside Canada, including in the United States, where it may be accessible to the authorities of those countries under their laws.
We may also share information when the law requires it, to protect our rights or someone's safety, or with a health professional you have asked us to coordinate with (for example, your physiotherapist), and only with your permission.
4. Cookies and analytics
The Site uses cookies that are necessary for it to work, such as keeping a checkout session open. If we add analytics tools such as Google Analytics, they use cookies to measure visits and page views in aggregate so we can understand how people use the Site. You can block or delete cookies in your browser settings; some parts of the Site may not work without the necessary ones.
5. How long we keep it
If you apply but do not join the program, we keep your application for up to 12 months so it can be reconsidered if your situation changes, and you can ask us to delete it sooner. If you join, we keep your program record while you are a client and for up to seven years afterward, because financial records must be kept for tax purposes and because your history matters if you come back. Emails and messages are kept for the same period, after which they are deleted or anonymized.
6. How we protect it
Your information is stored in accounts protected by strong passwords and two-factor authentication, and access is limited to Kevin Hirose and to the service providers listed above, who are bound by confidentiality and privacy obligations. No method of transmission or storage is completely secure, but we take reasonable technical and organizational steps to protect your information against loss, misuse and unauthorized access.
7. Your choices and rights
You can ask to see the personal information we hold about you, ask us to correct it, withdraw your consent, or ask us to delete it. Withdrawing consent may mean we can no longer provide the program to you, and some records must be kept for legal reasons. To exercise any of these rights, email kevin@rebuilt2move.com. We will respond within the time required by law, and normally within 30 days. If you are not satisfied with our response, you can contact the Office of the Information and Privacy Commissioner of Alberta or the Office of the Privacy Commissioner of Canada.
8. Age
Our services are designed for adults. If you are under 18, a parent or guardian must submit the application on your behalf, attend the assessment and consent to the program.
9. Changes to this policy
We may update this Privacy Policy from time to time. The date at the top shows the current version. If a change materially affects how we use your information, we will let you know by email or with a notice on the Site.
